1) I have a data base w/ appx 4000 cases that I want to treat in the following way in the course of a project: I want to keep archival copies (historical copies) as the db goes through stages of development. Accordingly, I want to be able to save the db as an entirely NEW db with a new name at each stage with NO CONNECTIONS to previous versions. I would like each successive version to be a stand-alone db. I cannot figure out how to do that!

I am searching for solutions that do not require me to write, use, or understand code or require someone else to write code.


2) In the same database, I have about 50 fields and nearly all are count fields. Most cells are empty (and I do not want to normalize the db, creating a relational db ... I want a simple flat file). My problem is: I need to populate the empty cells with zeros. How can I do that? Too many cases and fields to do it by hand.

Again, no code solutions, please. Thanks!

I was reviewing this question, and from an IT professional standpoint, what you are trying to accomplish is much too complex for MS Access.

I would recommend using a SQL Server 2005 or later. The number of fields you have and the fact you want archives that are unrelated to the previous version... all of this would be very difficult to impossible in Access.

Access is designed for small portable databases. You are doing something on a much larger scale.

Just my two cents.

Thanks, XXXXX XXXXX found out that all I have to do is "save as" (although Access makes it hard to figure out) - and that (the "save as" sequencing) was the answer I needed.

 

What about changing the empty cell values to zeros -- that is the real problem?

Create a query with the primary key and the "empty field". Get the number of cells that you will need (total number of records with the empty fields).

Go to Excel, put a 0 in the first cell, copy, and then highlight the number of cells in Excel that you had from the previous step (total number of records needed to replace empty fields) and the paste the 0 's in.

Now copy all those new 0 cells from Excel, go back to Access, highlight the column of empty fields, and then Paste. You will be asked about being sure you want to change the fields, say yes and then that will be it.

I may be dense, but I don't follow -- are you saying I should open the file in Excel? I am working in Access 2007. The other thing I do not follow .... you say "column of empty fields" and I think we are not using the term "fields" the same way: by "field," I mean a variable (usually a column) in a data set. I have, in each of the fields in the data set, some empty cells (that I need to change to zeros) and some cells with count values (whole numbers) that I want to leave alone. Does that help?

Open a new sheet in Excel so that you can create the fields of 0's that you want to replace the null fields with.

I do understand what you are staying as far as the empty cells v. count values, which is why I suggested creating a query with the criteria of only the empty cells to fill in with zeros.
