Please take me to live chat with this question. I'm working on a template for a sales invoice. I need to add the discount as well as the discount applied wording to the subtotal. I am using Microsoft Word for Mac, so I can't figure out how to add the merge fields. Is this something you could do for me real quick? I'm using the Accounting Software Xero and its quite user friendly... I'll provide the Word template (DOCX)

Brandon M. :

Welcome back. I would be happy to take a look at the document for you and see if it is possible.

Customer:

One second please.

Customer:

Hi

Customer:

Sorry about that

Customer:

How are you?

Brandon M. :

Hey, sorry for the delay. I stepped out to lunch.

Brandon M. :

Are you still around?

Customer:

No worries.

Customer:

Yup, I'm still around.

Customer:

So basically I need to use DOCX formatting to show the discount in my invoice.

Customer:

The software I use is Xero and its really easy I'm sure, I just can't figure it out

Customer:

Well, its the last part, the "Mergefield" part

Customer:

http://help.xero.com/#Q_InvoiceDiscounts

Customer:

I can send you the Microsoft Word template

Customer:

You still there?

Brandon M. :

Ah, sorry - wasn't paying attention.

Brandon M. :

So, does Xero export Word docs?

Customer:

Yup, I have the word doc ready for you.

Customer:

There are only two things missing:

Customer:

1. The mergefield

Customer:

2. Some wording by the subtotal, which I'm not sure how to insert.

Brandon M. :

Ohh, it uses Word docs as a template

Customer:

DOCX format.

Brandon M. :

Sure, go ahead and send it to me. Wikisend is the best way

Customer:

They use word so you can customize, then it spits out a PDF when you invoice a client.

Customer:

http://wikisend.com/download/953830/Invoice.docx

Customer:

Its in spanish, so let me know if I can help ... but shoudl be pretty self explanatory (descuento = discount)

Customer:

the mergefield part should be in english though...

Customer:

and you can type in the subtotal wording and I'll just correct it later.

Brandon M. :

Ok, let me see what I can do

Customer:

Ok.

Customer:

you saw the link I sent you from Xero?

Brandon M. :

Yup

Customer:

ok, great.

Brandon M. :

Try this: LINK

Customer:

didn't work.

Brandon M. :

The link or the file?

Customer:

link

Customer:

now it did

Customer:

ah wait

Brandon M. :

Ok

Customer:

one sec please

Customer:

nice work!

Brandon M. :

Glad to hear it works :)

Customer:

one sec

Customer:

could you format the pricing of the discount in the subtotal part?

Brandon M. :

To an extent, yes

Customer:

right now it shows: 17000.31

Customer:

I just want $17,000.31

Brandon M. :

Hrm - Not sure if it can format dollar amounts. Let me check.

Customer:

don't worry about dollar

Customer:

symbol

Customer:

(I was able to easily add that)

Customer:

It can actually be the same number formatting as "Precio"

Brandon M. :

Where is Precio?

Brandon M. :

Oh

Brandon M. :

I see it

Brandon M. :

Try this: LINK

Customer:

unfortunately it didn't bring in the comma...

Brandon M. :

Hrm... Weird. I re-created the field - try this LINK

Customer:

Nope :(

Customer:

Still not bringing in the comma...

Customer:

you want to see a screen shot?

Brandon M. :

Hrm - maybe easier to edit it right on your computer - would you be ok with that?

Customer:

I can try

Customer:

what should I do exactly?

Brandon M. :

Just a sec, I will get you a link

Customer:

Ok.

Brandon M. :

Download and run the software

Customer:

What are you getting me into here ? haha

Customer:

ah remoting in?

Brandon M. :

Yup, it's our remote software

Brandon M. :

If you are ok with that

Customer:

Sure.

Brandon M. :

Figured it would be easier than keep sending files over

Customer:

Well, the thing is... each time you update it, I have to re-upload to Xero

Brandon M. :

That is fine

Customer:

ok

Customer:

I think its live

Brandon M. :

Ok, I'm connected

Brandon M. :

Can you bring up the doc?

Customer:

you see my screen?

Brandon M. :

Yup

Customer:

so how do we do this?

Brandon M. :

I just control your computer and give you the go-ahead to upload.

Customer:

how do I give you the access?

Brandon M. :

You already did. I just turn on control

Customer:

ah ok.

Customer:

i'm ready

Brandon M. :

Try that

Brandon M. :

Hrm - that doesn't look right - I didn't put the $ in...

Customer:

the $ was in, but it didn't show the comma

Brandon M. :

Let me check the template again

Customer:

k

Brandon M. :

Upload - this should *not* have a dollar sign

Customer:

k

Brandon M. :

No, it's not using the right template or something - there is no $ in the template I just gave you

Customer:

hmmm

Customer:

one sec

Customer:

I'm sorry!

Customer:

Was uploading the wrong invoice.docx

Customer:

one sec

Customer:

let me give you access to fix it real quick.

Customer:

let me open correct one

Customer:

go for it

Customer:

no dollar sign, sorry.

Customer:

ok, all yours

Customer:

try?

Brandon M. :

Yup, sorry

Brandon M. :

Hrm - has MERGEFORMAT in there

Brandon M. :

Let me fix that real quick

Customer:

k

Brandon M. :

Forgot a quote :P

Customer:

something not right...

Customer:

its bringing in the wrong discount.

Customer:

#

Customer:

in the software it shows one number and in the PDF it shows another

Brandon M. :

Yeah, that is weird.

Brandon M. :

The pdf has different numbers in it all together

Customer:

one sec

Customer:

it actually doesn't...

Customer:

its because I gave the price 29,500 with tax included

Customer:

and in the PDF, it separates it

Customer:

25,431 without tax, watch:

Customer:

25,431 * 1.16 = 29,500

Customer:

but I don't know why it shows a different discount number

Brandon M. :

Is it discounting the price with tax instead of the price before tax?

Customer:

let me see

Customer:

I need to talk with them to figure out whats going on.

Brandon M. :

Yeah, sounds like something on their end or something because the merge field should be correct.

Brandon M. :

Yeah. thats what it looked like

Customer:

they are taxing the total price (including tax)

Customer:

let me talk to them and I will let you know if I have any questions.

Customer:

thanks for your help!!

Brandon M. :

Sure, no problem

Brandon M. :

Glad to help
